Coach Party or Large Group Terms and Conditions
- Subject to the required accommodation being available at the time the holding deposit is received, the proprietor may accept a provisional reservation.
- The organiser must confirm final numbers, room requirements and forward the balance of the agreed deposit per person to reach the proprietor by first post on the Confirmation Date indicated. A legal contract will then be in existence between the organiser and the proprietor.
- Failure by the organiser to comply with the requirements as stated in paragraph 2 above will render any contract null & void, and the proprietor may retain all or part of the holding deposit to defray expenses incurred in obtaining substitute business.
- If the final numbers confirmed by the agreed confirmation date reflect a reduction in the value of the booking of 20% or more, the proprietor reserves the right to cancel the entire booking and retain the holding deposit, or re-negotiate the terms and modify the rooming arrangements to take account of the short fall in numbers.
- Any cancellations, non arrivals or curtailment of stays occurring after final numbers have been confirmed and accepted by the hotelier will render the organiser liable to pay compensation calculated at 2/3rds of the daily rate quoted per person for every day, or part thereof when the accommodation is not fully utilised. The proprietor will take all reasonable steps to mitigate the organiser's liability by attempting to obtain substitute business to recover all or part of the amount due in respect of such cancellations etc.
- The manner in which the final account is to be paid should be the subject of agreement between both parties at the time the booking is confirmed. Payments by cheque will require time for bank clearance.
- All bookings for a coach party or large group are accepted on the understanding that the organiser will accept full responsibility for the repair or replacement costs of any item of equipment, fixtures, or fittings damaged as result of misconduct, unruly behaviour etc. by any member of the group.
- The proprietor reserves the right to require any members of the group whose conduct is considered to be detrimental to the operation of the Hotel or the comfort of other guests, to leave the hotel and, in exercising such right shall not be liable to make any refund or allowance in respect of the person(s) concerned.
- The contract is solely between the hotelier and the organiser and any problems, complaints etc. should be a matter for discussion only between the hotel management and the organiser or their representative.
- Rooms are allocated according to capacity. For health & safety reasons the maximum number of persons allocated must NOT be exceeded in any circumstances. Unregistered guests are strictly forbidden. In the event that unregistered guests are discovered on the premises the accompanying guest will be required to pay a fine of £50.00 and may be asked to vacate the premises with the unregistered person risking arrest. In the interests of health & safety we must insist that this rule is strictly adhered to.
